Job Title: Scheduling & Administrative Assistant - Remote | WFH
Job Overview
We are in search of a committed Scheduling & Administrative Assistant to become an integral part of our office team. This pivotal position is essential in ensuring our agency adheres to both state and federal regulations, while facilitating the seamless execution of daily operations. The ideal candidate will significantly contribute to sustaining patient care continuity and supporting vital back-office functions, thereby playing a key role in the success of our organization.
Key Responsibilities
- Welcome and assist visitors to the office, providing a friendly and professional atmosphere.
- Oversee and manage inventory by ordering supplies for both field personnel and the office, maintaining accurate records and monitoring inventory levels.
- Assist in the management of field devices, including basic troubleshooting and routine maintenance, while ensuring proper documentation for device assignments and returns.
- Handle the processing of incoming and outgoing faxes, ensuring all signatures are tracked and documents are handled appropriately.
- Manage the main office email inbox and phone line, providing prompt and professional responses to inquiries.
- Sort and distribute incoming mail, assist with outgoing correspondence, and manage bulk letters and packages efficiently.
- Verify and review employee schedules for accuracy, ensuring compliance with staffing and client needs.
- Maintain precise records of nursing personnel and patient schedules, tracking absenteeism and making necessary adjustments.
- Compile reports as needed and assist with data entry tasks.
- Participate in weekly team meetings, preparing agendas and providing updates.
- Help plan and execute company events, training sessions, and activities, including remote onboarding initiatives.
- Ensure compliance with HIPAA standards.
- Perform additional duties as assigned.
Required Skills
- Proficiency in Adobe Acrobat and Microsoft Office Suite (Word, Excel, Teams, Outlook).
- Familiarity with EMR systems and other relevant technologies is advantageous.
- Strong organizational and multitasking capabilities.
- Excellent communication skills, both verbal and written.
- Ability to manage competing priorities effectively.
Qualifications
- Prior experience in the healthcare industry, particularly in scheduling, is preferred.
- A high school diploma is a requirement; an Associate's or Bachelor's degree in Healthcare Administration is preferred.
